Find the software subscriptions you're paying for and not using
The Bot gathers recurring charges from receipts and statements, lists every tool with its monthly cost and who uses it, and suggests what to cut. It cancels only what you approve.
What the Bot is set up to do
- Connect the inboxes receipts go to, plus your bookkeeping tool or a card statement export.
- Tell it who owns which tools, or let it ask you.
- Run it once a quarter. Each cancellation happens only after you approve it.
Prompt
Find every recurring software and service charge from the last 6 months in my email receipts and in [QuickBooks / card statements].
Make a table: tool, what it's for, monthly cost (for annual plans, divide the annual price by 12), seats, renewal date, and who uses it.
Total the monthly cost and show the sum.
Mark as "possible cut": two tools doing the same job, tools with no logins or emails in 60 days (where you can see that), and seats for people who have left.
Don't cancel or downgrade anything. Send me the list, and for each cut I approve, tell me exactly what you'll do before you do it.
Business fit
Who this helps, and how:
- Shopify & ecommerceStores pile up apps; this finds the ones still billing after a trial or a redesign.
- StartupsTeams find unused seats before annual renewals hit.
- AgenciesAgencies catch client-specific tools that kept billing after the project ended.
- Solo foundersOwners see their real monthly tool bill as one number.
How to adapt it
Run it 30 days before your biggest annual renewals, while you can still cancel.
For tools you keep, add "Check whether a cheaper plan covers our usage."
Ask it to put each renewal date on your calendar.
