Track contract, insurance and license renewals before they auto-renew
The Bot reads the contracts, insurance certificates and licenses in a folder, pulls key dates and terms into one tracker, and reminds you 60, 30 and 7 days before each deadline.
What the Bot is set up to do
- Put the documents in one Google Drive folder or Notion page the Bot can read.
- Have it build the tracker once, then add a weekly routine to check for new files and upcoming dates.
- It only reads and reminds. Renewing or canceling stays with you.
Prompt
Read every contract, insurance certificate, permit and license in [folder].
For each one, add a row to [sheet or Notion database]: other party, document type, start date, end date, auto-renews (yes or no), notice period, cancellation deadline (end date minus notice period), price and price-increase terms, and a link to the file.
Quote the exact clause for every date you use. If a date is unclear, write "check" instead of guessing.
Every Monday, check for new files and send me anything with a deadline in the next 60 days, soonest first.
Remind me again at 30 days and 7 days. Never contact the other party.
Before you run it
- The Bot reads documents; it isn't a lawyer. Check each date against the clause it quotes before you rely on it.
Business fit
Who this helps, and how:
- Local & serviceContractors, clinics and restaurants keep licenses, permits and insurance current without a binder.
- AgenciesAgencies see every client contract end date and notice period in one view.
- StartupsTeams stop getting surprised by auto-renewing annual contracts.
- Solo foundersOwners get one list of everything that renews, with the clause quoted.
How to adapt it
Add subcontractors' certificates of insurance; many clients require them to be current.
Ask for a calendar event for each cancellation deadline.
For leases, add rent increase dates and amounts.
