Routines: daily and weekly runs that keep work moving

Routines run a Bot’s job on a schedule or a trigger: an hourly sweep, a 7 a.m. brief, a Monday report, or a run started by a webhook. Most useful Bots are built around one or two.

How it works

  1. Schedules: hourly, interval and daily routines run on a schedule counted from when you create them. Claire Vo runs her sweeps every hour from 6 a.m. to 9 p.m.
  2. Triggers: a routine can start from a webhook, with its own URL and key and the request body passed to the Bot, or from a Microsoft Teams message, a Linear issue, a Sentry alert or a PagerDuty incident.
  3. After you save a routine, the Bot sums up what it does and who receives the result. Each run opens in its own chat.
  4. Right-click a routine to pause, resume, test, edit or delete it. Pausing also cancels runs that were waiting.

Set up three routines, and confirm each one with me before saving:

1. Weekdays at 7:00am: [morning brief: what's new, what's due, what needs me].
2. Hourly from 9am to 6pm on weekdays: [sweep the support inbox and draft replies].
3. Fridays at 3pm: [review the week: what shipped, what's stuck, what to change next week].

For each one, tell me what it reads, what it may do, what it will ask me about, and where it sends the result.

Business fit

Which businesses benefit, and how:

  • Solo foundersA morning brief and a Friday review give owners a working rhythm without a manager.
  • StartupsHourly sweeps keep support and sales queues moving between meetings.
  • CreatorsWeekly research and drafting routines keep publishing on schedule.
  • Local & serviceA 7 a.m. list of today's jobs, quotes to chase and reviews to answer.

Watch-outs

  • Every run uses your plan’s usage, and an hourly routine can run up to 24 times a day. Start with your working hours.
  • If routines were paused while you were away, Grok Bot shows a notice. Check it when you return so missed runs don’t go unnoticed.
  • A webhook URL and key work like a password. Anyone with both can start the routine.
