Triage six inboxes every hour and only get pinged for what matters
A chief-of-staff Bot sweeps six email accounts, Slack and calendars every hour, archives the noise and sends only high-signal alerts plus a morning brief.
Explain it simply
A busy founder has an AI assistant read her six email inboxes, her team chats and her calendar every hour. It files away the noise and only messages her about things that matter. Each morning it sends her a short summary.
What was done
Claire Vo runs several businesses with at least six email addresses. Her Bot, Chief, replaced the OpenClaw chief of staff she used before.
From 6 a.m. to 9 p.m., seven days a week, Chief sweeps every inbox, Slack workspace and calendar each hour. It archives what doesn't matter, leaves later items unread and pings her only for high-signal alerts.
One of the first things she did was have it study her sent email to learn her voice. It also sends a morning briefing and a weekend plan-ahead.
How it went
It flags things like a spike in data transfer on her website, noting it can wait until after her meeting. Routines needed more explicit setup than in OpenClaw, but she calls them rock-solid once set.
- She still writes high-stakes emails herself.
- Grok's default writing read as clipped until it learned from her sent mail.
Prompt
You're my chief of staff.
Every hour from 6am to 9pm, sweep [inboxes], [Slack workspaces] and [calendars].
Archive newsletters, receipts and notifications. Leave anything I can deal with later unread.
Message me only about: money, unhappy customers, deadlines in the next 48 hours, and anyone on [VIP list].
At 7am, send a five-line brief: what's new, what's due, what needs me.
Before you draft any reply, read my last 200 sent emails and show me a short style guide of how I write.
Setup notes
- Connect each email account to the Gmail or Outlook plugin; Grok Bot supports several accounts per plugin.
- Add one hourly routine for your working hours and one 7am routine for the brief.
- Approve the voice style guide before allowing drafts.
- Keep every send behind a draft card.

- Solo foundersOwners juggling several brands or roles get one feed of what actually needs them.
- StartupsFounders can stay out of Slack threads without missing escalations.
