One Bot, one job
Start with a single Bot named after one job, with only the apps that job needs. It is where most first-time owners should begin, and the base every larger team grows from.
How it works
- Name the Bot after the job, like Holly Helpdesk or LinkedIn Bot, and write a short job description: what it owns, what it may do, and what it must ask about first.
- Connect only the plugins that job needs. A support Bot doesn't need your bank.
- Give it one routine, such as hourly during support hours, and keep sends, refunds and purchases behind approval cards.
- Run it draft-only for a week, compare its work with yours, then widen its scope.
Starter prompt
Your job: [one sentence, e.g. "keep our support inbox at zero by end of day"].
You own: [the outcome].
You may: [read, search, draft, organize].
Ask me before: [sending, refunding, buying, deleting, posting].
Done when: [your definition of done].
Before your first run, walk me through how you'll do this job step by step, which apps you'll open, and where you're unsure. Don't do anything yet.
Business fit
Which businesses benefit, and how:
- Solo foundersThe quickest way to hand off one recurring chore without managing a team of agents.
- Local & serviceStart with a job like review replies or quote follow-ups, where a mistake is easy to catch.
- CreatorsA single channel Bot, such as LinkedIn, is a low-risk first step.
Watch-outs
- Bots on one account share files, browser sessions and logins, so separate names don't mean separate access.
- Don't make a Bot for every subtask. Debbie O'Brien's advice: give each Bot a real job.
- Draft cards include an option to turn drafts off for that Bot so it sends directly. Leave drafts on until its work is reliably right.
