An HVAC and Plumbing Shop's AI Phone Agent Now Books Its After-Hours Calls

After Air One swapped its answering service for an AI virtual agent, its tracking showed nearly every lead from March to mid-June becoming a booked call; the dispatcher estimates the old service converted about 30% of after-hours calls.

Who this is about: Family-owned HVAC, plumbing and electrical contractor (Air One, about 12 staff)

Explain it simply

When the shop was closed, callers used to reach an answering service that could only take messages, so many of them called another company instead. Now an AI voice that talks on the phone in English and Spanish answers those calls and puts the job straight into the shop's schedule. Customers get booked right away, even at night or on weekends.

What was done

Air One's after-hours and weekend calls used to go to a third-party answering service that could take messages but not book jobs, and couldn't help Spanish-speaking callers. In January the shop went live with a voice agent it named "Jenny" that books directly into its schedule in English and Spanish. Setup was mostly deciding which job types the agent could book and when to hand a call to a person.

How it went

Between March and mid-June, according to Air One's internal call tracking (non-leads removed first), nearly every lead converted to a booked call. The dispatcher's recollection is that the old answering service converted about 30% of after-hours calls in summer. She now starts the day on the technician board instead of returning overnight messages, and no longer keeps her phone on all evening.

  • Limits: the two numbers cover different periods and aren't measured the same way, as the article itself notes. Early on, the agent offered next-day slots for plumbing leaks because the shop hadn't marked those jobs as urgent.
  • The fix was on the shop's side: rebuild job types by urgency and give the agent access to after-hours technician shifts. This is a customer story published by the vendor.

Prompt

PromptAdapted from the source
1. Map every job type by urgency before go-live (e.g., active leak = same night).
2. Decide which job types the agent may book on its own and which go to a person.
3. Give the agent access to after-hours technician shifts, not just next-day slots.
4. Turn on every language your callers use.
5. Track leads separately from non-leads (marketing calls, appointment check-ins) when you measure conversion.

The setup the story describes; no prompt was published.

Business fit

Who this helps, and how:

  • Mechanics and tradespeople: let an agent book emergency calls into on-call shifts so the job doesn't go to whoever answers first.

    Local & service
  • Local service businesses: replace a message-only answering service with one that can book into your real calendar.

    Local & service
  • Medical and health professional business owners: handle after-hours scheduling calls in more than one language, with clear rules for what gets escalated to a person.

    Local & service
  • Retail store owners: answer evening and weekend calls about appointments or pickups without keeping staff on the phone.
