Explain it simply

A small surveying firm stopped paying a human answering service. An agency set up an AI voice on Vapi that picks up the phone, asks what the caller needs, collects their details and saves them as a lead. The founder says it caught a £1,200 job while he was on holiday.

What was done

The firm hired an agency (Azizov HQ) to build an inbound phone agent on Vapi, with ElevenLabs voices and Twilio phone lines. The agent answers enquiries, qualifies the job and writes the lead into the CRM.

Calls the team can't take go to the agent. Staff call the qualified leads back.

Separate from the Ekron case study, Vapi's phone quickstart builds an assistant from a template such as Info Collector or Appointment Scheduler, attaches a free number, and says the test call takes under 5 minutes. Free numbers can take inbound calls. They cannot launch outbound campaigns.

Vapi's outbound campaigns quickstart says a day-before reminder campaign takes about 10 minutes: upload a CSV of number, name, appointment date and time, and the agent calls each client by name. It can confirm or flag a reschedule. It does not book or cancel.

How it went

The agency's case study quotes "Costs reduced from £24K to £4K per year" (an 83% reduction). The founder says the agent captured a £1,200 lead while he was on holiday, which the firm has since converted.

  • The page counts about £10K of extra work captured in the first three months but says it is "not presented as booked revenue".
  • This was built by an agency that sells these builds. The page has no date, and the figures are the agency's and the founder's own.
  • The FCC ruled on Feb 8, 2024 that AI-generated voices count as "artificial" under the TCPA. Get prior consent before automated outbound calls. These two notes are from Vapi's docs, not from the Ekron figures.

6. If the caller is upset, says it is urgent, or asks for a human, say you will flag it as urgent and end politely.
