An Email Agent Ran Three Inboxes for 30 Days Without Missing an Urgent Message
An owner who runs five businesses and gets 80–150 emails a day let an AI agent with access to three inboxes triage them for a month: triage was about 85% accurate, nothing urgent was missed, and 10 minutes of inbox work became 2 minutes of review.

Explain it simply
An owner of five businesses got 80 to 150 emails a day. An AI agent, a program that can act on its own, checked his inboxes every 30 minutes, sorted mail by importance, sent him alerts for urgent ones and wrote draft replies to routine ones. It never sent anything without his OK, and in a month it missed nothing urgent.
What was done
Every 30 minutes during business hours the agent checked three email accounts and sorted mail into urgent, important, informational and noise. It flagged urgent items on Telegram, drafted replies to routine messages and filed the rest. One rule never changed: it drafts, the owner approves, and nothing is sent on its own.
How it went
Triage was about 85% accurate from the start, and no urgent email was missed in 30 days. About 40% of incoming mail was handled as informational without the owner seeing it. Routine drafts (acknowledgements, confirmations, simple requests) were about 70% ready to send.
- Limits: tone was the biggest failure. Drafts sounded generic to long-term suppliers, friends and officials. The agent also lost context across multi-day threads, over-used CC, and missed subtext in sensitive situations.
- After 30 days the owner narrowed its job: it still drafts routine and templated replies, but only flags (and does not draft) negotiations, close relationships, legal matters and anything involving CC decisions.
Prompt
Every 30 minutes during business hours, check [inboxes].
Sort each email as urgent (needs me today), important (can wait a day), FYI, or noise (candidates to unsubscribe).
Send me the urgent ones on [Telegram] right away.
Draft replies only for routine messages: acknowledgements, confirmations and simple requests.
Never send anything without my approval.
Flag, but don't draft, anything about negotiations, long-standing clients or suppliers, legal or compliance matters, or who to CC.

Business fit
Who this helps, and how:
Independent contractors (barbers, bartenders, consultants): let an agent sort booking confirmations and routine questions, and flag anything from key clients.
AgenciesLocal service businesses: flag urgent customer or supplier emails to your phone while routine confirmations get drafted.
Local & serviceMedical and health professional business owners: separate vendor and newsletter noise from messages that need a person, keeping patient matters out of auto-drafting.
Local & serviceStartup founders and e-commerce sellers: auto-file notifications and supplier CCs so the inbox shows only what needs a decision.
StartupsAgencies and freelancers: draft acknowledgements and scheduling replies across several client inboxes, with approval before send.
