A Loan Officer Built a Self-Updating Mortgage CRM With Grok Bot That Feeds Itself From the LOS
A loan officer asked Grok Bot for a loan screen that stays up to date.
What happened A mortgage loan officer described her CRM wish list to Grok Bot and got Loan-Bot: a team dashboard fed by the LOS, Outlook and funding records that flags stalled applications and cooling partners and hands her templated emails to send.

Explain it simply
A mortgage team's old contact list was only as fresh as the last time someone typed in it. The loan officer told an AI helper what she wanted. It built a screen that updates from the loan system, email, and calendars. It reminds her when to follow up, and it fills in an email she can edit and send.
What was done
The LOS pushes every new loan and status change in through Zapier, with a nightly sync to catch misses; Outlook email and calendars sync every weekday morning, and funded loans are checked against company funding records.
One screen shows to-dos with owners, meetings, follow-ups due, stalled applications, cooling partners and year-to-date production.
A partner's last touch is computed from real emails, meetings, calls, texts and closings, and quiet partners are flagged; friends-and-family referrals are excluded.
Reminders come with filled-in templates, such as a stalled-application nudge or a servicer email a week before first payment; she edits and sends each one herself.
Manual edits are never overwritten; sign-in uses company Microsoft accounts, and no SSNs, credit reports, income docs or bank statements are stored.
How it went
She says she loves it, and that it lets the team start each Monday with everything on one screen. "Is it perfect? Nope, we're still building." Review requests and six-month and one-year check-ins are planned next.
- No figures were shared.
- Not promotional: she says Loan-Bot is an internal tool and not a product for sale, though she invites DMs.
- Names and data in her screenshots are fictional, per the post.
Prompt
When a loan closes, remind me a week before the borrower's first payment and give me a ready-to-send email with their servicer's name, website, phone number and payment address. Use separate versions for purchases and refinances. Don't send it; I'll personalise and send it myself.
Expanded from the example request in her article, which she gave Grok Bot in plain English.
Setup notes
- Keep sensitive borrower documents in the LOS and store only names, contact details, stage and key dates in the dashboard.
- Make manual edits win over every sync so the team trusts what it sees.
Business fit
Who this helps, and how:
Mortgage teams: get a pipeline and partner tracker that updates from the LOS instead of manual entry.
Local & serviceSolo loan officers: get reminders and ready-to-send follow-ups tied to each loan's real dates.

Your turn
Ideas to try on your own work. These are starters, not results anyone has measured.
- Which follow-up do you forget when your loan list is out of date?
- What should a dashboard show you on Monday morning?
- Which email would you still edit yourself before it is sent?
