First 48 hours with AI: four free tasks that use your own business
For owners who have never used AI: four copy-paste tasks in free Claude, ChatGPT and Gemini Notebook, each building on the last. Review every output before you use it.
- Setup
- Two short sessions over two days
- Your time
- You review every output; nothing is sent or filed for you
This is what the setup aims for, not a measured result.
Day 1: Build a one-page Business Context Card
AI gives generic answers when it knows nothing about you. A one-page card pasted at the top of a chat gives it your facts, prices and tone, so you stop re-explaining.
Open claude.ai or chatgpt.com with a free account. Fill in the brackets, run the prompt, and save the result in a note called "AI Context Card". Remove customer names from the sample messages first.
PromptWritten by our editors Act as a business operations consultant. I'm new to AI. Turn the facts below into a "Business Context Card" I can paste at the top of future chats so you understand my business and write like me. Business facts: - Business name and location: [BUSINESS_NAME], [CITY_STATE_OR_ONLINE] - What we sell and who we serve: [ONE_OR_TWO_SENTENCES] - Top 3 products or services, with typical prices: [TOP_3_WITH_PRICES] - What makes us different: [DIFFERENTIATORS] - Words and phrases I never want used: [BANNED_WORDS] - Two real messages I wrote to customers (names and contact details removed): 1. [SAMPLE_MESSAGE_1] 2. [SAMPLE_MESSAGE_2] Write the card in under 250 words with these sections: Business snapshot, Offers and prices, What makes us different, Voice rules (5 bullets based only on my two sample messages), Never say. Use only the facts I gave. If something important is missing (hours, service area, policies), list it under "Add later" instead of guessing.Day 1: Turn a voice note into an email and a text
Talking through a situation is often easier than typing it. The AI tidies the wording but must keep your facts.
In the ChatGPT or Claude mobile app, paste your Context Card, then the prompt, then dictate with the microphone. ChatGPT keeps dictation audio while the chat is in your history; you can turn off "Include your audio recordings" in Data controls.
PromptWritten by our editors Use my Business Context Card above. Below is a messy voice-to-text transcript about a customer situation. Write two versions: 1. An email under 150 words with a clear subject line. 2. A text message under 40 words. Rules: - Keep every fact, name, price, date and boundary I said exactly as I said it. Do not add promises, discounts or deadlines I didn't mention. - If a number or date is unclear in the transcript, write [CHECK] instead of guessing. - Remove filler words and end with one clear next step for the customer. Transcript: [DICTATE_OR_PASTE_TRANSCRIPT]Day 2: Build a cited quick-answer sheet in Gemini Notebook
Gemini Notebook (formerly NotebookLM) answers from the files you add and cites them, so you can check each answer against the source. It can still be wrong, so check before relying on it.
Go to notebooklm.google.com and sign in with a Google account. Create a notebook and add 3–5 documents with no customer or employee personal data: price list, FAQ, policies, procedures. Paste the prompt in the chat. For a staff-facing version, see the staff Q&A use case linked below.
PromptWritten by our editors Using ONLY the sources in this notebook, create a "Quick-Answer Sheet" for new staff and customers of [BUSINESS_NAME]: 1. The 10 questions customers are most likely to ask, each answered from the sources with a citation. If the sources don't answer a question, write "Not in sources" instead of answering. 2. A step-by-step checklist of the daily procedures the sources describe, with citations. 3. Missing information: 5 questions a customer or new employee is likely to ask that the sources do not answer, so I know what to write next. 4. Contradictions: any place where two sources disagree (for example, different prices or hours), with both citations.Step 3 follows a consultant's NotebookLM SOP post (see the staff Q&A use case).
Day 2: Check one invoice or statement for odd charges
AI can read a photo or PDF of an invoice or statement and sort the lines, which makes fees and duplicates easier to spot. It can misread numbers, so check every flagged line against the original.
Photograph or download one vendor invoice, card statement or inventory sheet. Cover or delete account and card numbers. Upload it with the prompt (ChatGPT Free allows 3 file uploads a day). To compare two invoices from the same supplier, use the supplier invoice check linked below.
PromptWritten by our editors Act as a careful small-business bookkeeper. I've attached [DOCUMENT_TYPE] for my [BUSINESS_TYPE]. 1. Extract every line into a table: Date | Description | Category | Amount. Sort by amount, largest first, and give a subtotal per category. 2. Flag for review: possible duplicate charges, fees or surcharges, charges that look like subscriptions, and any single line that is a large share of the total. Explain each flag in one sentence. 3. Suggest 2 questions I could ask the vendor or my team this week about the flagged lines. Do not promise savings or estimate how much I could save. 4. If any number is unreadable, write "unreadable" instead of guessing. Do not give tax advice.A spot check, not accounting or tax advice.
Guardrails
- Remove customer names, phone numbers, emails, addresses and card or account numbers before you paste or upload anything.
- Check training settings on free plans: in ChatGPT, "Improve the model for everyone" in Data controls; in Claude, "Help Improve our AI models" in Privacy settings.
- Google warns "Gemini Notebook can make mistakes"; check each citation before relying on an answer.
- Step 4 flags lines to question; it does not promise savings and is not tax advice.
Business fit
Salons and trades: load your price list and aftercare sheets into the notebook in step 3.
Local & service- Solo foundersput your rates and voice rules in the context card so every later chat starts from your facts.
- Shopify & ecommercecheck one supplier invoice line by line in step 4.
