A Four-Café Chain Put Its Staff Wiki and Handbook Behind ChatGPT

Plex Coffee connected ChatGPT to its Notion wiki on in-store iPads, cutting staff WhatsApp questions on some topics by over 50%, and turned its 25-page handbook into an onboarding GPT that cut onboarding from weeks to days.

Explain it simply

Baristas kept asking managers the same questions in group chats, like where things are kept or how a task is done, and nobody read the long staff handbook. The café linked ChatGPT to its online staff wiki, so staff can ask questions in their own words on an iPad in the shop. The owner also loaded the handbook into a custom ChatGPT that teaches new hires through a conversation instead of a document.

What was done

As Plex grew from one café to four, part-time staff on rotating shifts flooded WhatsApp groups with routine questions, and store managers lost focus time. The co-founders had moved their knowledge into Notion, but keyword search didn't work because everyone described things differently. A 25-page handbook went largely unread.

They turned on ChatGPT Business's Notion connector so staff can ask questions in plain language and get answers from the wiki, using an iPad in each store.

The co-founder uploaded the handbook into a custom GPT, shared in the onboarding email, prompted to teach company values and specifics such as where the coffee is sourced, in a conversational way.

They also use ChatGPT's deep research to estimate revenue potential for new locations, ask it to explain unusually slow or busy weeks, and are experimenting with ordering from suppliers' different portals through ChatGPT agent.

How it went

WhatsApp messages on certain operational topics fell by over 50%, and onboarding went from weeks to days. Store managers say they have more time for community events. These figures come from OpenAI's own customer story with the co-founder's quotes. There's no detail on how the drop in messages was measured, and supplier ordering through the agent is still an experiment.

"You are the onboarding guide for [café name]. Use only the attached
handbook. Teach one topic at a time: our values, how we greet guests,
drink standards, opening/closing, and where our coffee comes from.
After each topic, ask the new hire one question to check understanding.
If something isn't in the handbook, say so and tell them to ask their
store manager. Keep answers short and friendly."

Business fit

Who this helps, and how:

  • Multi-location cafés, salons and shops: put your operations wiki behind a chat assistant so staff stop interrupting managers.

    Local & service
  • Owners with an unread handbook: turn it into an onboarding chat that quizzes and teaches new hires.

    Local & service
  • Lean teams: use the same setup for supplier details, recipes and opening and closing checklists.
