Explain it simply
A car repair shop uses ChatGPT every day for office work: writing emails, explaining how jobs should be done, and tidying up its SOPs (standard operating procedures, the written step-by-step rules for each task). Rewriting those documents by hand would take a person weeks. With AI help it takes days.
What was done
Owner Matthew Ciaschini decided to lean in to AI, partly because insurers already use it on estimates. The shop is trying out the AI features in CCC ONE, its estimating software, and uses ChatGPT every day for office work: drafting emails, clarifying processes, and cleaning up internal documents, tools and standard operating procedures.
How it went
He says ChatGPT refined internal documents that would take a person weeks, and the shop had them done in days. It helps cut through admin and automate repetitive tasks.
- There are no measured hours or dollars, just one owner's account in a trade magazine.
- He warns that AI "can hallucinate, make assumptions or screw things up if you're not paying attention," and that it doesn't know what a proper repair is. He treats it like a new apprentice and proofreads every internal document before it's used.
Prompt
"Here are my rough notes on how we handle [process, e.g., supplement requests
to insurers]. Rewrite them as a numbered SOP with: purpose, who owns each step,
tools/forms used, and common mistakes to avoid. Don't add steps I didn't
mention; list any gaps as questions at the end."
Our prompt; none were published. His rule: write prompts for exactly what you want, and proofread everything.
