Explain it simply
A home daycare owner used to type a long daily update to every parent during nap time. Now she just talks into ChatGPT about each child's meals, naps and diapers, and it organizes her words into a neat report she can copy and paste. That cut the job from 25 minutes to 5.
What was done
Tracy Ouellette used to spend nap time typing updates to parents about meals, naps, diapers and potty training. After an AI training session she started speaking the updates into ChatGPT, which organizes them for her to copy and paste, and her trainer helped her lock the workflow into a Custom GPT.
She then searched her past reports to build information packages for new families with bi-weekly menu rotations and daily and weekly activity schedules.
How it went
Daily parent reports went from 25 minutes to 5. She also uses AI to keep parent emails clear and friendly, format receipts as PDFs, write routines for new parents and lists of statutory holidays, draft parts of her contracts, and turn her list of go-to foods into a menu chart.
- Limits: the 25-to-5 figure comes from her trainer's case study post, and she confirms the workflow in her own post and comment. There are no other measured results. Anything going to parents, and especially contract wording, should still be read before sending.
Prompt
"I'll describe [child's first name]'s day out loud. Organize it into a short,
warm update for the parents with these headings: Meals, Nap, Diapers/Potty,
Activities, Notes. Keep my wording and don't add anything I didn't say."
Later: "From my past daily reports, build a two-week menu rotation and a
daily and weekly activity schedule I can send to prospective families."
