Explain it simply

She records planning calls and workshop sessions, then brings those notes into Claude to build agendas, guides, and handouts. Each night of a workshop she feeds in the day's recordings and notes so the next day is ready. The AI drafts the paperwork; she still leads the room.

What was done

Jori Bell recorded the planning conversations that shaped each workshop in Granola, then brought them into Claude to build the agenda, facilitation guides and handouts.

During the workshop she recorded every session. Each night she fed the recordings, her handwritten notes and her observations into Claude, and each morning she walked in with an updated facilitation guide and handouts based on what actually happened the day before.

How it went

The logistics for one two-day workshop used to take 10–13 hours: 2–3 for the agenda, 3–4 for guides and materials, 2–3 to rebuild for day two, and 2–3 for the post-workshop summary. With the AI stack each step takes under an hour, and the whole thing comes in under 4 hours. She ran two two-day onsites in a month by herself, with a third coming up.

  • Because logistics took less of her attention, she could take part in the discussions herself instead of only managing the room.
  • Limits: her point is that AI gave her capacity, not skill. Running the room well came from years of teaching, coaching and improv. The time figures are her own estimates. The workshops were for her own team, not paying clients.

Nightly rebuild: "Here are today's session transcripts, my handwritten notes
(photos) and my observations. Summarize what happened, what landed, what
didn't and open questions. Then update tomorrow's facilitation guide and
handouts to reflect it. Keep the agenda timing; flag anything to cut."

After the workshop: "From all sessions, write a summary with decisions,
action items with owners, and open questions."

Our prompts for the routine the post describes.

Business fit

Who this helps, and how:

  • Independent contractors (barbers, bartenders, consultants): run multi-day client workshops alone by turning each day's recordings into the next day's plan overnight.

    Agencies
  • Agencies and freelancers: turn kickoff and discovery recordings into an agenda, handouts and a follow-up summary.

    Agencies
  • Medical and health professional business owners: turn a recorded staff training day into a written recap and checklist for people who missed it.

    Local & service
  • Content creators: turn a recorded live course or cohort session into the next session's worksheet and summary email.
