A Solo Advisor Uses Claude on Past Call Transcripts and Hired a Planner Instead of an Assistant
A solo advisor with about $200M under management has Claude read past meeting transcripts to draft one-page client plans (about 80% right before he edits) and a rollover checklist in five minutes, so his first full-time hire was a planner.

Explain it simply
The advisor records client meetings and uses Zocks, an AI notes tool, plus Claude to turn those talks into follow-up emails and prep sheets. Before the next call he already has the documents to request and the key facts in one place. That frees him to hire another planner for clients instead of another admin assistant.
What was done
Ryan Townsley started with Zocks for AI meeting notes, then taught it follow-up emails that request the documents each client mentioned and a meeting-prep template that pulls data from his other tools into one view. With Claude connected through Zocks and Wealthbox, he built skills such as "make me a one-page plan for this client" and refined them over time.
He also asked Claude to review every recorded call where he did a 401(k) rollover with one employer and write a checklist, and used similar outputs on retiree medical benefits to build a client webinar.
How it went
The one-page plans come out about 80% accurate before he corrects and refines the skill. The rollover checklist took about five minutes and is now training material for new hires. He says the tools removed enough admin that he "didn't hire less, I just hired differently": his first full-time hire was a financial planner. The firm is close to $2 million in revenue with him as the only advisor.
- Limits: this is one advisor's account on a podcast, and the time saved isn't measured. Getting it working took a lot of setup up front.
- On safety, he uses Claude only through the Zocks interface rather than uploading files directly, had his outsourced IT firm review every tool, bans any medical or HIPAA data, and limits export rights to himself.
Prompt
Rollover checklist:
"Review every recorded call where I handled a 401(k) rollover for [employer]. Write a step-by-step checklist for doing it, including the forms and the order of steps."
One-page plan (save it as a reusable skill):
"Make a one-page plan for this client from our past meetings."
Then refine it over time: "Leave out [topic]. Make it shorter. Use this format: [format]."
Meeting-prep template sections: retirement, investments, taxes, insurance, estate and gifting, pulled from your CRM and planning tools.
Guardrails from the source: a paid tier with data protections, access only through the approved app, an IT review of every tool, no medical data, and exports limited to the owner.
Adapted from the prompts he describes on the podcast.
Business fit
Who this helps, and how:
Independent contractors (barbers, bartenders, consultants): turn past client call transcripts into a one-page summary before each meeting.
AgenciesAgencies and freelancers: have AI read every recorded call on a repeated process and write the SOP your next hire will follow.
AgenciesMedical and health professional business owners: build staff checklists from recorded internal how-to calls (no patient data in the tool).
Local & serviceLocal service businesses: send follow-up emails after each consult that list exactly what the customer said they'd send.
